About the Role
We are currently seeking a detail-oriented and organized Property Administrator to support the day-to-day operations of our residential properties in Montreal. The successful candidate will play a key role in assisting the property management team with administrative tasks, tenant relations, and ensuring the efficient operation of our properties.
Requirements
Post-secondary education in Business Administration, Real Estate, or related field preferred.
Minimum of 2 years of administrative experience, preferably in property management or real estate.
Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
Excellent communication and interpersonal skills, with a customer service-oriented approach to tenant relations.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook), and experience with property management software (e.g., Yardi, AppFolio) is an asset.
Knowledge of Quebec's Residential Tenancies Act and other relevant legislation governing rental properties is preferred.
Bilingual proficiency in English and French is required.
Key Responsibilities
Provide administrative support to the property management team, including answering phones, responding to emails, and maintaining accurate records and documentation.
Assist with leasing activities, including processing rental applications, preparing lease agreements, and conducting unit showings and move-in inspections.
Coordinate tenant move-ins and move-outs, including collecting and depositing security deposits and rental payments, and preparing lease renewal notices as required.
Address tenant inquiries, concerns, and maintenance requests in a timely and professional manner, and liaise with maintenance staff and contractors to ensure prompt resolution.
Maintain property files and databases, including tenant files, vendor contracts, and property maintenance records, ensuring compliance with company policies and regulatory requirements.
Assist with budget preparation and monitoring, including tracking expenses, processing invoices, and preparing financial reports as required.
Assist with scheduling and coordinating property inspections, including fire safety inspections, health and safety audits, and preventative maintenance checks.
Assist with the organization and execution of resident events and community outreach initiatives to promote resident engagement and satisfaction.
